VOLUNTEER INFORMATION

Run4Elise is Saturday, May 10 at Gateway Church

Welcome Run4Elise Volunteers! Thank you so much for your willingness to help us make this event happen! We appreciate the time and effort you are dedicating to help the Swim4Elise Foundation raise awareness in our community.  Each year the Run4Elise supports the water safety efforts of the Swim4Elise Foundation including the Elise Cerami Memorial Fund, the Lifeguard Challenge and our FREE Daycare Water Safety education. This year the Run4Elise will continue to promote Water Safety Month on Saturday, May 10, 2025, at Gateway Church, 700 Blessed Way, Southlake, Texas 76092. The volunteer check-in tent will be in the Northwest Parking Lot near the grandstand. Tents, tables, chairs and the stage will be delivered at 5 AM. Site setup will start at 5:15 AM.  Other volunteer positions are asked to check in at the volunteer tent as directed by their job description. ALL volunteers are asked to visit with the educational/vendor tables to learn about water safety and local businesses. SWIM4Elise scholarship recognition is at 7:15 AM, the pledge/anthem/invocation is at 7:40 AM, the 1 mile will be at 8:00 AM and the 5K  will be at 8:30 AM. We will need volunteers to help with packet pickup, registration, refreshment stations, finish line, pre-race tasks and more!  If you have questions about your position, please text Lori at 817-726-9301 and/or Vicki Lawrence 214-616-5946. 

Volunteers are asked to wear their organization's shirt. 

Please Note: Our inclement weather plan could result in a 1-2 hours delayed start. Delays will be communicated via Swim4Elise.com, Swim4Elise Facebook, Twitter and Instagram.

Finish Line Refreshment Setup/Distribution SATURDAY, 5/10

SATURDAY, 5/10, 7 AM, arrive at Volunteer Tent and sign in. 7-7:40 AM, visit with educational/vendor tables to learn about water safety and community businesses. 7:40 AM, stand by main stage ready to assist event director loading participants in the starting area. 8:01, after the 1 mile starts, take boxes of finisher medals on lanyards to the finish line near title sponsor. Organize medals for distribution. Cheer for participants. Award finisher medals to participants as they finish the 1 mile or 5k from 8 AM to 10 AM. Continue to cheer during awards ceremony. 9:30-10:30 AM, assist with any clean up at staging area. Lastly, check out at Volunteer Tent. Site Coordinator/Greeter --SATURDAY, 5/10
SATURDAY, 5/10, 5:15 AM, arrive for staging set up. By 6 AM, report to north end of parking lot D. Greet each person. Help direct them to their area on site maps. Cone off vehicle entry into lot D to maintain a high level of safety for families. 6-7 AM, help direct volunteers/sponsors to staging area. Remind volunteers/sponsors are to move all vehicles from stage side of parking lot D to non-stage side. They are allowed to park in the far west side of lot D by the tree line. This will increase safety for pedestrians. Vehicles are allowed back into the tent area (east side of D) between 10-10:30 AM. Note: Should there be any weather delays, please plan to stay an additional hour.

On Race Day, SATURDAY, 5/10--5:30 AM, report to north lot to help unload truck near volunteer table/tents. Set up step and repeat tents near stage and at finish line, set up vendor recognition stage signs, set up start/finish arch, set up yard signs. Supervise start and finish arch through out event. Volunteer Waiver

Please read any waiver carefully. It includes a release of liability and waiver of legal rights and deprives you of the ability to sue certain parties. Do not agree to this document unless you have read and understood it in its entirety. By agreeing electronically, you acknowledge that you have both read and understood the text presented to you as part of the registration process. You also understand and agree that events carry certain inherent dangers and risks which may or may not be readily foreseeable, including without limitation personal injury, property damage or death. Your ability to participate in the event(s) is/are subject to your agreement to the waiver and by agreeing herein, you accept and agree to the terms of the and release agreement. You must be over 18 years of age OR the parent/legal guardian of a minor under 18 years of age OR the legal guardian of an incapacitated and/or mentally challenged person in order to agree to the text below.

WAIVER CONTRACT

Run4Elise Volunteer Waiver--I understand and fully acknowledge that I am a volunteer for Run4Elise. I assume full and complete responsibility for any injury, accident, or any health-related issues, which may occur to me during the Run4Elise. I hereby forever release and hold harmless and discharge the Swim4Elise Foundation, Gateway Church, The City of Southlake and all its agencies, RunTIME Racing Services, and all sponsors, promoters, and all other persons and entities associated with the Run4Elise 5K and 1 Mile Fun Run or the Swim4Elise Foundation and their agents, employees, and volunteers. I further certify that I am in good physical condition and fully able to volunteer in the Run4Elise. Further, I grant full permission to the Swim4Elise Foundation to use any photograph, video, or recording, taken of me, for any and all purposes, forever. I have read and understand this agreement.
